VACANCY : MMI - PERSONAL ASISSTANT & LEGAL ADMINISTRATION OFFICER

1. PERSONAL ASSISTANT

Job description:
Referred to as an executive secretary or personal/private secretary, works closely with BOD’s to provide administrative support, usually on a one-to-one basis.
Help BOD’s to make the best use of their time by dealing with secretarial and administrative tasks.
Having extensive knowledge of MMI Organization. Knowing who key personnel are (both external and internal) and understand the MMI organization's aims and objectives.
BOD’s often rely heavily on her, trusting that work will be handled efficiently in their absence. Discretion and confidentiality are therefore essential attributes for a successful performance.
Work activities

Act as BOD's first point of contact with people from both inside and outside the MMI organization. Typical work activities include:

• Screening telephone calls, enquiries and requests, and handling them when appropriate;
• Meeting and greeting visitors at all levels of seniority;
• Organizing and maintaining diaries and making appointments;
• Dealing with incoming email, faxes and post, often corresponding on behalf of BOD’s;
• Taking dictation and minutes;
• Carrying out background research and presenting findings;
• Producing documents, briefing papers, reports and presentations;
• Organizing and attending meetings and ensuring their manager is well-prepared for meetings;
• Liaising with clients, suppliers and other staff;
• Deputizing for the BOD’s, making decisions and delegating work to others in BOD's absence;
• Devising and maintaining office systems, including data management, filing, etc.;
• Arranging travel and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations.
• Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
• Maintain hard copy and electronic filing system. Organizes and maintains paper and electronic files, deals with paperwork and office organization.
In addition to supporting BODs, team and departments, have own personal workload and responsibilities. The scope of the role can be extensive and additional duties may include:
• carrying out specific projects and research;
• responsibility for accounts and budgets;
• taking on some of the manager's responsibilities and working more closely with management;
• being involved in decision-making processes.
Doing all the secretarial work herself, while others take responsibility for recruiting and training junior staff and delegate some of their less demanding and confidential work to them.

Requirements:
• Female, max 35 years old
• Diploma or Bachelor’s Degree, Secretarial or equivalent from reputable University
• At least 2 year(s) of working experience in the related field is required for this position.
• Preferably Senior Staffs specializing in Secretarial/Executive & Personal Assistant or equivalent.
• Expert to using Microsoft Office (word, excel, power point)
• Have good communication, active, fast learner, hard worker, and coordination skill
• Attention to detail, humble, tough, and can work under pressure


2. LEGAL ADMINISTRATION OFFICER

To assist mining lawyer day to day administration, Coordinating with government institutions, The tasks will include but not limited to ensure that all documents are properly archived.

Requirements:
• Male/Female, max 35 years old
• Bachelor Degree in Law from reputable local / overseas universities
• Having at least 3 years experience related, mining companies as Legal will be notified
• Understanding of Indonesian legal aspects especially Indonesian Mining Law
• Excellent in written and spoken in English
• Having good communication skill and ability to deal with government institutions
• Highly initiative person, dynamic, energetic, self motivated and strong interpersonal skill
• Excellent consulting, analytical, negotiation skill, able to work under the pressure, both work independently and as a team.
